Getting Started with Buyers Collection
We'll set it up with you

Sign in and find your way around
Sign in at buyerscollection.com. You land on Home, which shows a short Getting started checklist until it's done:
- Add your first Buyer Profile
- Add your first Listing
- Invite your team (companies only)
The tabs along the bottom are Home, Buyers, Listings, Matches and Messages. The bell at the top holds your alerts.
The Buyers tab opens on Search Buyers: every Buyer Profile on the network, searchable by Buyer ID, boat type, make or model, with filters such as Buyers who can spend and Has matches. Switch to My Buyers to see your own.
The ☰ Menu has everything else: My Buyers & Listings, Add a Buyer Profile, Add a Listing, Bulk Upload (Spreadsheet), Team, Clients, Account, Export My Data, Invite a Broker, Add to Home Screen, How It Works, Help & Support and Sign Out.
Tip: use ☰ Menu → Add to Home Screen to put Buyers Collection on your phone like an app.
Add a Buyer Profile
A Buyer Profile shares what your buyer wants, never who they are. It takes about a minute: ☰ Menu → Add a Buyer Profile.
- Buyer (required basics):
- Primary Boat Type (pick one or more)
- Manufacturer: leave Any selected (the default), or tap Preferred manufacturers to name the brands your buyer wants. A boat from another maker can still show up, ranked lower.
- Model (optional)
- Staterooms and Heads (optional, shown for yacht types; minimums)
- Length Range, in feet or meters
- Maximum Budget, with its currency
- Notes for other brokers (optional): anything that helps another broker judge the fit, such as "wants a tower" or "needs to close before the season". Shown to every broker on the network, so never include your client's name or contact details. Use your private client record for that.
- Additional Details (all optional but recommended; tap Skip if you're in a hurry): Also Consider (other boat types), Year Range, New / Pre-Owned, Power / Sail, Fuel Type, Length flexibility (how many feet shorter or longer they'd consider), Would stretch up to $___ more for the right boat, Where can the boat be?, Financing Status and Engine Count.
- Profile Name: a nickname for the profile, filled in for you, for example "32–40′ Center Console · up to $800K". Never use your client's real name here. The nickname is how you keep your client private while you work the deal. This step is also where you can add your private client record (see below).
- Review: choose how other brokers can reach you, tick the box confirming you represent or are actively working with this buyer, then tap Publish Buyer Profile.
How other brokers reach you:
- Show my contact info shows your name, company and phone on the profile.
- Messages only hides your name, company, phone, email and website from other companies. The profile shows only its Buyer ID, and other brokers can reach you only by message through Buyers Collection.
Your client's details are private to you. You can keep your client's name and contact details under Your client records (optional, private). Only you can see them. They are never shared on the network, never shown to other brokers and never shown to Buyers Collection. Your company's Owner and Admins see them only if you choose to share them, and you can change that any time under Account.
What other brokers see: the buyer's criteria (boat type, manufacturers, model, length, budget, and the details from step 2), your Notes for other brokers, the 8-digit Buyer ID, and your contact details unless you chose Messages only. They never see your client's details or your Profile Name, and they see only that the budget is "flexible", not your stretch amount.
Add a Listing
Add any boat you're selling and Buyers Collection compares it with Buyer Profiles across the network: ☰ Menu → Add a Listing.
- Listing:
- Listing Type (see the table below)
- Primary Boat Type
- Manufacturer and Model (Model is optional)
- Staterooms and Heads (shown for yacht types)
- Year and Length (feet or meters)
- Asking Price, with its currency
- Listing URL (optional; Central, Open and Trade only)
- Notes for other brokers (optional): shown to every broker on the network. Never include your seller's name or contact details.
- Additional Details: Engine Hours (or "Not known"), City, Country, State, New / Pre-Owned, Power / Sail, Fuel Type, Engine Count and Availability. For a new boat, choose New and enter the New Boat Base Price here instead of an Asking Price. Every listing needs one of the two prices.
- Listing Name: a nickname for the listing, filled in for you, for example "2019 Viking 52". Never use your seller's name here. You can add your private seller record on this step.
- Review: choose Show my contact info or Messages only, then tap Publish Listing.
| Listing Type | Use it when |
|---|---|
| Central (Exclusive) | Your company holds an exclusive (central agency) listing agreement |
| Open | Your company is authorized to sell under a non-exclusive listing agreement |
| There is no written listing agreement, but you have the owner's permission to present the boat | |
| Incoming | You expect to list the boat soon and have the owner's permission to share it now |
| Trade | Your company took the boat in on trade and is authorized to sell it |
Other brokers see the boat's details, location, engine hours, availability, Listing URL and your Notes for other brokers. They never see your seller's details or your Listing Name. Central, Open and Trade listings can also include a Listing URL. Seller details go under your private client records and stay private to you, the same way as for buyers.
Upload a spreadsheet
Have a lot of buyers or listings? Send your file to Steve in any format and we'll load it for you. Or upload it yourself: ☰ Menu → Bulk Upload (Spreadsheet).
- Choose Upload Buyer Profiles or Upload Listings.
- Tap Download Template (Excel). Fill in one row per buyer or listing. The Instructions tab in the template lists the allowed values.
- Tap Choose File (.xlsx or .csv, up to 500 rows). The app matches your column headings for you.
- Review the preview, tick I've checked these and they're ready to add, and confirm.
| Upload | Required columns |
|---|---|
| Buyer Profiles | Primary Boat Types, Length Min, Length Max, Length Unit (ft or m), Budget Max, Currency |
| Listings | Listing Type, Primary Boat Type, Year, Manufacturer, Length, Length Unit, Asking Price or New Boat Base Price, Currency |
Before you confirm, the app also helps you clean up:
- Rows that need fixing are set aside. Tap Download these rows (the button shows how many), fix them and upload again.
- Possible duplicates offer Skip, Update existing or Add as new.
- If currency or length unit cells are blank, you choose one for the whole file.
- For listings, it asks Is this your full inventory? and can mark missing listings sold or removed.
Limits: one file holds up to 500 rows (the heading row and blank rows don't count). Only the first sheet is read, and headings must be in row 1. Currency can be USD, EUR, GBP, CAD or AUD.
Records go live and match right away. Match emails from an upload wait 15 minutes, and you get one summary email instead of one per match. You can undo an upload for 24 hours from Upload History → Undo this upload. Records you've edited or started a conversation on since are kept.
Matches, messages and alerts
Smart Matching compares your listings with Buyer Profiles across the network, and your buyers with listings, all the time. New matches show on the Matches tab and in the bell.
- Exact Match fits the buyer's criteria. Flexible Match fits once the buyer's stretch or length flexibility is counted.
- In-House Match means both sides belong to your own company.
- Tap View Why It Matched to see the reasons.
- Tap Message Broker to reach the other broker (or Contact Teammate for an in-house match). The match then moves from New to Contacted.
- Not a fit? Tap Dismiss Match and it won't alert you again.
Conversations live on the Messages tab. Inside a conversation you can choose Share my contact info when you're ready to talk directly.
Choose your emails: ☰ Menu → Account → Notifications. Each type has its own switch, and all are on to start: Messages, Someone contacted me, Matches, Shared contact info, Team and Reminders.
Keep your records current
☰ Menu → My Buyers & Listings holds everything you've added, in three statuses: Active, Inactive and Closed.
- Edit anything at any time.
- Make Inactive takes a record off the network without losing it. Reactivate brings it back.
- Close a record when the buyer buys or the boat sells, with a reason.
- Delete is permanent. You'll be offered Make Inactive Instead.
Every listing also gets an 8-digit Listing ID.
Check-ins: a record that hasn't been updated in 90 days gets a reminder, by bell and at most one email a month. Tap Still looking or Pause for a buyer, or Still for sale, Mark sold or Remove for a listing. Nothing changes until you tap a button.
Your data is yours: ☰ Menu → Export My Data downloads your records as a spreadsheet.
Your team (companies)
Company Owners and Admins invite their brokers from ☰ Menu → Team. Each teammate's row also has Reassign Records and Remove from team, and the Owner can Make Administrator or Make Professional.
- Under Invite a teammate, enter the broker's email and choose a role: Professional User, or Company Administrator (only the Owner can give this role).
- Tap Send Invitation. Invitations expire after 7 days, and you can Resend or Revoke them.
- The Team page shows how many seats you're using. Need more? Contact Steve.
Owner-only settings on the Team page:
- Admins can see client contacts: whether your Admins can see client details that a broker has chosen to share with the company. Brokers' client details stay private unless each broker chooses to share.
- Default currency and Default length unit for your company.
- When a broker leaves: Buyer Profiles, Pocket listings and Incoming listings always go with the broker. You choose whether Central, Open and Trade listings Stay with the brokerage or Go with the broker.
Individual brokers don't have a Team page. If you join a brokerage later, use ☰ Menu → Join a brokerage.
